Booking System Instructions
Creating an account
Head to ouenpilates.com/book
Ideally it’s best to create an account as this means you have visibility of all your future bookings, and allow easy access to cancel or change a booking.
It is not essential to create an account. Should you choose not to, please ensure you keep your booking confirmation email, as you will need these amend or cancel the booking.
To create an account, click “sign up” in the top right hand booking box
Enter your email address and a password of your choosing.
Select the box accepting the terms or service for the booking system and click the “sign up,” button
Purchasing a class pass
Please ensure you are logged in. To check this, there should be either an icon of head and shoulders in the top right corner or your email address. If the words “login” are visible it means you’re not logged in.
Click on “buy a class pass - 5 or 10 class packages” andselect which of the two class passes you’d like
If you are logged in, your details will already be pre-populated. If you’re not logged in, you’ll need to enter your details (name etc.)
Click “continue to payment.”
Enter your card details and click “confirm purchase.”
Confirmation of the class code will be displayed; an email confirmation will also be sent.
N.B. Class passes are valid for 6 months from date of purchase
Booking classes
Please ensure you are logged in. To check this, there should be either an icon of head and shoulders in the top right corner or your email address. If the words “login” are visible it means you’re not logged in. Please note: any bookings made without being logged in, will not be visible on your account info and you will need to refer to the confirmation emails.
Click on “group reformer classes”
Select the level you’d like to attend
You’ll now see a timetable. Select the date of the first class you’d like to attend. Classes that are full will not be visible and not available to select.
Once you’ve selected the date, the time will appear on the right, click on the time of class you’d like to attend
If you’d like to only book one class, click on “select and continue.”
If you’d like to book multiple classes in one go, click “select and add another time.”
When booking multiple classes in one classes in a go, continue to use the calendar to select the dates you’d like to attend, continuing to select “select and add another time,” to add more classes. You’ll see all the times you’ve added in the bottom right.
On the last class in the series you’d like to book, click “select and continue.”
Please complete the information in form; questions with a red astrix are compulsory and the form won’t let you move forward if these are blank. If you have logged in and have completed this information previously, your answers will be pre-populated; please ensure however, you let us know of any changes.
Review and agree to the studio policy
Select “continue to payment”
If you have not purchased a class pass, please enter your card details.
If you have purchased a class pass, please click on the plus sign and enter the class pass code and click “apply.” The class pass code is included in the confirmation email of your class pass purchase
Click “pay and confirm”
Confirmation of your booking(s) will be shown and you will received confirmation emails.
If you made your bookings without logging in/ do not have an account, it is important for you to keep the confirmation emails; on the are buttons that allow you to cancel or reschedule bookings.
Viewing your upcoming/ past bookings
Login to your account (see instructions on how to do this if needed)
Next to your email address, click on the down facing arrow and select appointments”
As long as the class was booked whilst logged in, your upcoming and past appointments will be displayed
Rescheduling classes
For classes booked whilst logged in, navigate to your account and find your bookings as outlined in the “viewing your upcoming/ past booking,” instructions.
Click on the 3 dots next to the class you need to amend, select “reschedule.” Use the calendar view to select the new date/ time.
For classes booked when not logged in, locate the confirmation email, click on the “change/ cancel booking” button on the email. A new window will open, click “reschedule” Use the calendar view to select the new date/ time.
Please note, classes can only be rescheduled to an alternative class, taught by the same instructor and same level as the original booking. If you need to reschedule a class to a day taught by a different instructor or different level, please cancel the booking and then re-book
Cancelling classes
For classes booked whilst logged in, navigate to your account as outlined in the “viewing your upcoming/ past booking,” instructions. Click on the 3 dots next to the class you need to amend, select “cancel.” Confirm the cancellation
For classes booked when not logged in, locate the confirmation email, click on the “change/ cancel booking” button on the email. A new window will open, click “cancel.” Confirm the cancellation.
Refunds will be issued via the original payment method i.e. either by credit/ debit card or class passes will be automatically available for re-use
Please note the Studio cancellation policy. The system will not provide the option for you to cancel a class once the cancellation window has passed.
Checking your class pass balance
Either…login to your account (see instructions on how to do this if needed)
Next to your email address, click on the down facing arrow and select “manage codes.” Please note, this option is only available if the class pass was purchased whilst logged in

Head to ouenpilates.com/book. Scroll towards the end of the page, click “check code balance.” Type in the class pass code which is included in the confirmation email of your class pass purchase
